AI RECEPTIONIST

How to deploy an AI receptionist that does more than answer.

The goal is not to sound human. The goal is to protect inbound demand, complete safe next steps, and escalate the right exceptions without inventing authority.

01

Start with the job, not the voice

Write the receptionist’s operating brief first: which calls it owns, hours of coverage, services it can discuss, information it must capture, what it can schedule, and which situations must immediately reach a person.

02

Define approved actions

Typical approved actions include answering routine questions from approved knowledge, capturing caller details, checking availability, booking or requesting appointments, creating leads, and transferring or escalating calls. High-risk or exceptional actions should stay outside automatic authority.

03

Connect only what the job needs

A receptionist may need calendar access, call routing, approved service knowledge, and selected CRM or lead fields. Give the minimum access needed for the role rather than broad access to every customer or business system.

04

Design escalation before launch

Examples include emergencies, complaints, sensitive account changes, unsupported services, pricing exceptions, low-confidence situations, and callers who request a person. The caller should not have to repeat context after escalation.

05

Test real scenarios

Test easy calls, ambiguous calls, policy-edge cases, angry callers, background noise, after-hours scenarios, scheduling conflicts, unsupported requests, and failures in connected systems. Verify both the response and the action/evidence.

06

Measure business outcomes

Useful metrics include calls answered, qualified leads, appointments requested or booked, transfers, escalations, missed-demand recovery, resolution rate, and human minutes saved. Conversation length by itself is not the business outcome.
